Privacy Policy

We want your decision to do business with us to be an informed one, which is why we would like to address any privacy concerns that you may have. We have set forth the following privacy policy for handling the information you share with us online. Our information collection and handling practices are regulated by State and Federal law. This privacy policy describes those practices.
1. Google User Data (Gmail and Google Calendar)
When you choose to connect your Google account, Rent Solutions requests access to the following Google API scopes, each used solely to power specific features inside the application:
https://www.googleapis.com/auth/gmail.modify — used to send emails from your Gmail address to leasing leads on your behalf, read replies from those leads so the full conversation thread is visible inside Rent Solutions, and mark those messages as read after they are displayed in the app. We only read messages that belong to leasing conversations tied to leads in your Rent Solutions workspace.
https://www.googleapis.com/auth/calendar — used to create, update, reschedule, and cancel property showing events on your primary Google Calendar, and to read the events Rent Solutions has created so the app can display your current bookings. We do not read or modify events that were not created by Rent Solutions on your behalf.
https://www.googleapis.com/auth/userinfo.email — used to identify your Google account email address for authentication and to associate your Gmail connection with your Rent Solutions profile.
https://www.googleapis.com/auth/userinfo.profile — used to display your name and profile picture inside the connection settings screen.
You can revoke Rent Solutions' access to your Google account at any time from the integrations section of your Rent Solutions profile, or directly from your Google Account permissions page. Revocation immediately stops all future reads, writes, and background syncs.
2. Limited Use of Google User Data
Rent Solutions' use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically:
We do not use Google user data (including Gmail content or Google Calendar data) to train generalized or third-party artificial intelligence or machine learning models.
We do not use Google user data for advertising purposes, and we do not serve advertising of any kind inside Rent Solutions.
We do not sell, rent, or license Google user data to third parties.
We do not allow humans to read Google user data except (a) with the explicit consent of the affected user, (b) as necessary for security purposes such as investigating abuse, (c) to comply with applicable law, or (d) where the data (including derivations) has been aggregated and anonymized such that it cannot be used to identify an individual user.
Google user data is used only to provide and improve the specific user-facing features described in Section 1 above.
3. Data Protection and Security
Rent Solutions applies the following protections to all user data, including sensitive data obtained through Google APIs:
Encryption in transit: all communication between your browser, the Rent Solutions application, and Google APIs is encrypted using TLS 1.2 or higher.
Encryption at rest: all persisted data — including OAuth refresh tokens, cached Gmail messages, and calendar event records — is stored in encrypted Amazon RDS and Amazon S3 infrastructure, with encryption managed by AWS KMS.
Access controls: production systems containing Google user data are accessible only to a limited set of authorized engineering personnel under role-based access controls. Application-level access is gated by JWT authentication, multi-tenant isolation, and a permissions framework that prevents cross-company access.
Audit logging: access to production databases and administrative operations on user data are logged and retained for review.
Retention: Google user data is retained only as long as your account is active and the Google connection is authorized. You may request deletion of your data at any time by contacting us, and we will complete deletion within 30 days. Disconnecting your Google account removes the stored refresh token and stops further syncing; cached message and event records tied to that connection are purged on the next scheduled cleanup cycle.
Incident response: in the event of a data breach affecting Google user data, we will notify affected users and, where applicable, the relevant authorities in accordance with applicable law.
4. Methods Of Collection Information
When you visit our Website and choose to either submit an application or submit an inquiry, we may collect information about you that you voluntarily choose to share with us. This identification information may include your name, your physical address, your e-mail address, your telephone and fax numbers, and details of your real estate needs and preferences. This company may also obtain personal information in the following ways:
Consumer reports from reporting agencies to which this company subscribes in connection with lease applications
Lease applications that a prospective tenant may complete
In other real estate-related forms
5. Using Information Collected
We primarily use the identification information you voluntarily share with us to provide the information you have requested of us. We also use your identification information to tell you about our products and services, but you may instruct us not to send communications to you by opting out at any time. Personal information from prospective tenants will be used primarily to obtain consumer reports (credit checks). It may also be used to perform rental history searches.
We do not share your information with unaffiliated third parties. We may, however, share your information with our own personnel and our service providers to the extent necessary to fulfill your requests. We reserve the right to disclose your information under limited circumstances, such as to cooperate with law enforcement or judicial authorities as required by law or legal process, to protect our own legal rights, or to protect the public good.
6. Who has Access to Personal Information?
The following will have access to personal information in this company's files:
The agent/broker who is servicing the transaction
Employees who need to access the information to assist agents, brokers, or accountants in processing an application or performing a task
7. Updating Information
If you would like to review the information about you that we have collected through our website, or to change that information, you can make that request by contacting us at any time. We may require that you verify your identity before we process your request.
8. Updating Our Privacy Policy
We may, from time to time, change our Privacy Policy. We will notify you of any changes by posting our updated Privacy Policy on our website and inserting a new "Effective Date."
9. Effective Date
This Privacy Policy is effective as of April 24, 2026.
